Depending on the circumstances, Lusitage may rely on the following lawful bases:

Contract and steps before entering into a contract

We may process information where this is necessary to respond to a request you have made before entering into a contract, or to provide and administer services you have requested.

This includes processing information needed to arrange a consultation or provide a requested service.

Legitimate interests

We may process personal information where it is necessary for Lusitage’s legitimate business interests and those interests are not overridden by your rights and interests.

We may process personal information where this is necessary for us to comply with a legal or regulatory obligation.

6. Consultation bookings

Consultations booked through the Lusitage website are administered using Easy!Appointments, which operates within the Lusitage WordPress website.

The booking system collects the information necessary to administer your appointment, including your name, email address, optional telephone number, appointment details and information entered into the consultation question.

Easy!Appointments is configured to automatically delete customer and appointment data after 6 months.

This automatic deletion applies to the customer and appointment information held within Easy!Appointments. Other records, such as relevant business correspondence or financial records, may be retained separately where there is a legitimate or legal reason to do so.

Some cookies may be necessary for the website to function, maintain security or remember essential preferences.

Where the website uses non-essential cookies, such as analytics or advertising-related technologies, these will only be used in accordance with applicable cookie and data protection requirements.

Lusitage uses CookieYes to manage cookie preferences and consent.

The exact cookies and technologies used on the website may change as the website develops. The CookieYes cookie information and consent controls provide the current information about cookies used on the website.

  • Easy!Appointments – consultation booking and appointment administration;

  • CookieYes – cookie consent management.

These providers may process personal information on Lusitage’s behalf where this is necessary to provide their services.

We take reasonable steps to use appropriate providers and to ensure personal information is handled in accordance with applicable data protection requirements.

10. Sharing your information

Lusitage does not sell your personal information.

We may share personal information with service providers where this is necessary to operate the website, administer bookings, communicate with you or meet legal obligations.

We may also disclose information where we are legally required to do so, for example to comply with a legal obligation or lawful request from a competent authority.

Some service providers may process personal information outside the United Kingdom.

Where personal information is transferred outside the UK, Lusitage will take appropriate steps to ensure that the transfer is carried out in accordance with applicable data protection law.

12. How long we keep your information

We only retain personal information for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.

For consultation bookings, Easy!Appointments is currently configured to automatically delete customer and appointment data after 6 months.

Different retention periods may apply to business records where there is a legal, accounting or other legitimate reason to retain them.

When personal information is no longer required, it will be securely deleted or otherwise disposed of appropriately.
